Manage every aspect of a deal: stage progression, pricing, payments, discounts, communication, and documentation.

Stage Progression

Move the deal through stages using the stage selector at the top. Each stage represents a milestone: from initial inquiry through test drive, negotiation, reserved, agreed and documentation, ending in won or lost. Stage changes are logged with timestamps and the user who made the change.

Pricing & Negotiation

The pricing section shows the asking price, negotiated price, and any applied discounts. Update the agreed price as negotiations progress. The system calculates the gross margin based on purchase cost vs. sale price, giving you real-time visibility into deal profitability.

Payments

Record payments as they are received: deposits, partial payments, and final settlement. Each payment entry captures the amount, method (cash, bank transfer, cheque, card), date, and reference number. The balance tracker shows how much is still outstanding.

Discounts

Apply discounts to a deal with a reason and approval workflow. Discounts above a threshold may require manager approval. The discount amount is reflected in the deal pricing and affects profitability calculations. All discount requests and approvals are logged.

Invoice Generation

Generate a professional invoice for the deal once pricing is finalized. The invoice includes vehicle details, buyer information, pricing breakdown, payment terms, and your organization's branding. Invoices can be downloaded as PDF or shared directly with the customer.

Communication History

The communication section shows all interactions related to this deal, including any carried over from the original lead. Log calls, messages, visits, and notes. This shared history ensures any team member can step in and continue the conversation without asking the customer to repeat themselves.

Common questions

How do I mark a deal as won?
Move the deal to the 'Won' stage using the stage selector. The system will prompt you to confirm the final sale price and verify that all payments are recorded. The associated vehicle status changes to 'Sold' automatically.
What happens if I mark a deal as lost?
The deal moves to 'Lost' status and you'll be asked for a lost reason. The vehicle is released from 'Reserved' status back to 'Ready'. Lost deals remain in your records for reporting and can be referenced if the customer returns.
Can I change the vehicle on an existing deal?
Yes, you can switch the vehicle on a deal before it reaches the Won stage. The previous vehicle is released from reservation, and the new vehicle is marked as Reserved. The pricing updates to reflect the new vehicle's asking price.
How is profit calculated on a deal?
Profit = Sale Price - Purchase Cost - Reconditioning Costs - Discounts. The system pulls the vehicle's purchase cost and recon expenses automatically. Discounts applied to the deal reduce the sale price. The resulting margin is shown as both an amount and a percentage.
