Saved Document

A saved snapshot of a deal document — frozen at the moment you created it. This is where you finalize, sign, and re-print contracts, delivery notes, refund requests, and other deal-linked documents.

Draft vs. Final

A new saved document starts as Draft (amber badge). While Draft, the document data is treated as work-in-progress — you can re-print or re-issue without consequence. Click 'Mark as Final' when ready; the badge turns green, the document is locked, and the signature pad becomes available. Don't mark Final until the printed copy is what you intend to keep.

Capturing a Signature

After marking Final, the signature pad appears beneath the document. The customer (or the responsible party) signs on screen with a stylus, finger, or mouse. ShowOps saves the signature image, the signer's name, and the timestamp — the document then shows a green 'Signed' banner with these details. The signature is part of the permanent record and cannot be removed.

Refund Request Approval

For a Refund Request, a 'Mark as Approved' button is shown alongside 'Mark as Final'. Approval requires the right permission (refund.approve). Once approved, the approver name and timestamp are recorded on the document and visible to anyone who opens it. Approval is separate from Final — both are tracked.

Reprinting Anytime

The document can be printed as many times as needed — open the page, click Print. The rendered content stays exactly as saved at creation time, even if the underlying deal or vehicle has since changed. This is the point of saving: a permanent printable record decoupled from live data.

Common questions

Can I edit a saved document?
No. A saved document is intentionally immutable — that's what makes it useful as a record. If you need a different version, create a new document from the deal page. Both will live in the deal's document list.
What if the customer signs the wrong document?
Signatures can't be undone. Generate a corrected document and have it signed too — both will be in the record. Note the mistake in the deal's notes so the audit trail explains the duplicate.
Why is the Mark as Final button missing?
The button only appears for Draft documents. If the document is already Final, the badge will be green and you'll see the signature pad (or signed banner). If you don't see the button on a Draft document, your role may not have the required permission — check with an admin.
