Import Inventory

Import vehicles from an Excel file using the standard template. Map columns, validate data, and add multiple vehicles at once.

Download Template

Start by downloading the import template. The template has pre-defined columns in the correct order: make, model, year, trim, color, VIN/chassis, mileage, purchase price, branch, and more. Fill in your vehicle data following the column headers, then upload the completed file.

Uploading Your File

Upload an Excel file (.xlsx or .xls) with your vehicle data. The system reads the first sheet by default. Maximum file size is 5MB. If your file has multiple sheets, only the first one is processed — use Smart Import for multi-sheet files.

Column Mapping

After upload, map your spreadsheet columns to the system fields. If you used the template, columns are auto-mapped. For custom spreadsheets, use the dropdown to match each column header to the correct field. Required fields (make, model, year) must be mapped before proceeding.

Data Validation

The system validates each row before import: checking required fields are filled, years are valid numbers, prices are numeric, and branch names match existing branches. Rows with errors are highlighted in red with an explanation. Fix errors in your spreadsheet and re-upload, or skip invalid rows.

Common questions

What if my Excel file has different column names?
No problem — use the column mapping step to match your column names to the system fields. For example, if your file has 'Brand' instead of 'Make', just map 'Brand' to the Make field. Alternatively, try Smart Import which uses AI to detect columns automatically.
Will importing create duplicate vehicles?
The system checks for duplicate VIN/chassis numbers during import. If a VIN already exists in your inventory, that row is flagged as a potential duplicate. You can choose to skip duplicates or update existing records.
How many vehicles can I import at once?
You can import up to 500 vehicles in a single file, subject to your plan's vehicle limit. If the import would exceed your plan limit, you'll be warned and only vehicles within the limit will be imported.
