Receivables Report

Track outstanding balances across all deals. See who owes what, how long payments have been outstanding, and prioritize collections.

Outstanding Balances

Each row shows a deal with an unpaid balance: customer name, vehicle, total deal value, amount paid, and remaining balance. Sort by balance amount to focus on the largest outstanding amounts first. Click any row to open the deal details and record a payment.

Payment Aging

Outstanding balances are grouped by how long they've been overdue: Current (not yet due), 1-30 days, 31-60 days, 61-90 days, and 90+ days overdue. Older receivables are harder to collect — prioritize follow-ups on accounts aging beyond 30 days.

Filters

Filter receivables by branch, aging period, minimum balance amount, and date range. Use filters to create focused collection lists — for example, all balances over 500 that are 30+ days overdue at a specific branch.

Common questions

What does 'aging' mean for receivables?
Aging tracks how many days a balance has been outstanding since the deal was completed or since the last payment was received. Higher aging indicates payments that need urgent follow-up. Industry best practice is to resolve receivables within 30 days.
How do I handle a customer who won't pay?
Document all communication attempts in the deal's activity log. Escalate to management for accounts beyond 60 days. The system tracks the full payment and communication history, which can be used as evidence if legal action becomes necessary.
