System Profiles
ShowOps ships with built-in access profiles — Owner, General Manager, Branch Manager, Sales Consultant, Inventory Coordinator, Finance Officer, Auditor / Viewer and others — that cover the common dealership roles out of the box. They are shown by these English names whatever language you are using. Each profile is a fixed bundle of permissions across modules (inventory, deals, finance, settings). System profiles cannot be edited; if you need a different bundle, use a custom profile.
Assigning a Profile to a Member
Open the Team Access tab, find the person, and pick a profile from the dropdown. The change applies immediately — the next page load will reflect the new permissions. Members can only be assigned profiles that exist in your organization; system profiles are always available, custom profiles must be created first.
Branch Scopes
Owners and admins implicitly see every branch. For other roles, branch scopes are an explicit list: on the Team Access tab, the gear button in the member's Actions column opens Edit Branch Scopes, where you check which branches they can see for each area (inventory, deals, leads, reports). A member with no checked branches sees nothing — that's a useful state for a profile that exists but isn't yet live in a location.
Custom Profiles (Enterprise)
Enterprise plans can author their own permission profiles when none of the system presets quite fit. Start by duplicating a preset close to what you need, then toggle individual permissions on or off. Custom profiles live alongside system profiles in the assignment dropdown and can be edited or deleted later. Non-Enterprise plans see system profiles only.
Common questions
- What's the difference between this page and Team?
- Team is where you invite or remove people. Access is where you decide what each person can do once they're in. Inviting someone on Team doesn't grant them permissions automatically — they get the default Viewer profile until you change it here.
- Why is my member still seeing old permissions?
- Permission changes take effect on the next request — if the member already has the app open, they may need to refresh the page or re-navigate. They do not need to log out. Branch-scope changes follow the same rule.
- Can I delete a profile that's in use?
- Custom profiles can only be deleted when no member is assigned to them. Reassign affected members to a different profile first. System profiles cannot be deleted at all.
