Roles Explained
Three roles are available: Owner (full access, billing, can delete org), Admin (manage team, settings, all branches), and Member (day-to-day operations within assigned branches). Owners can promote members to admin or transfer ownership. Choose the least-privilege role that fits each person's responsibilities.
Sending Invitations
Invite team members by email. Enter their email address and select a role. They'll receive an email with a link to join your organization. Pending invitations can be resent or revoked. Once accepted, the new member appears in your team list and can access the app.
Branch Scopes
Branch scopes decide which branches a member can see. Owners and admins see all of them. Everyone else is scoped to one or more branches and sees only the inventory, deals, and leads there. You don't set them here: this page shows a Branch Scopes note in the invite dialog and a banner linking to Access — the scopes themselves are edited under Settings > Access > Team Access, using the gear button in the member's Actions column, which opens Edit Branch Scopes. Update them as staff move between locations.
Common questions
- Can I remove a team member?
- Yes, owners and admins can remove team members. Removing a member revokes their access immediately. Their historical activity (deals, edits, payments) remains in the system for audit purposes. The member can be re-invited later if needed.
- What's the difference between admin and owner?
- Admins can manage team, settings, and all branches, but cannot change billing, delete the organization, or transfer ownership. Owners have full unrestricted access. An organization must always have at least one owner.
- Can a member see data from branches they're not assigned to?
- No, members only see data from their assigned branches. This includes inventory, deals, leads, and reports. If a member needs access to additional branches, an admin or owner must widen their branch scopes under Settings > Access > Team Access.
